As a Program Manager for the INCO Academy for Ukraine, you will play a key role in building and nurturing a strong community of online training participants, alumni, and job-seekers. You will serve as their primary point of contact, addressing inquiries, fostering engagement, and ensuring a seamless program experience as well supporting the alumni in their job searching mission.

In this role, you will:

  • Support program participant communications and manage inquiries efficiently.

  • Collaborate with partners to promote the program and expand its impact

  • Contribute to operational improvements and take on ad hoc projects to drive program success.

  • Monitor and optimize automated systems and platforms to enhance participant community engagement.

Your missions will include:

Operations

Community engagement

  • Co-create and execute community building strategy, ensuring seamless and engaging experience on the relevant LinkedIn groups.

  • Respond to daily participants inquiries via HubSpot, ensuring they have all required information to apply knowledgeably.

  • Lead onboarding sessions together with INCO’s facilitators every two weeks, in an engaging way.

Program Support

  •  Ensure program materials are updated by facilitators on a weekly basis 

  •  Monitor coaches’ To-Do updates in Program Guides (weeks 1-6), check that all recordings are available, and oversee daily inbox management.

  • Oversee administrative tasks in LMS platforms such as Moodle, including uploading reports, managing participants’ cohorts, and setting up learning environments to ensure timely execution and smooth program operations.

  • Analyze data and identify process improvements, leveraging insights to enhance efficiency, optimize operations, and improve the learner experience.

  • Maintain and update program tools and communications, including refining Typeform questionnaires and improving email communication with participants.

  • Respond to participants’ inquiries and provide support, ensuring a seamless and engaging experience.

  • Support program recruitment and selection process, including regular assessment of candidates’ motivation and navigation in other selection criteria on our CRM.

Outreach & Promotion

  • Research and coordinate potential influencers or explore new sourcing channels that would help to promote the program 

  • Contribute events coordination, organizing online and offline activities to enhance community engagement and job-placement support

Preferred Experience

  • 2+ years of experience in communication and relationship-building / NGO management / educational project coordination / event organization

  • Excellent written and verbal communication skills in English and Ukrainian. This is a must-have requirement to be considered for this position.

  • Experience with creating and curating content tailored to community interests.

  • Experience with social media platforms (LinkedIn groups especially).

  • Comfortable working in a fast-paced, startup-style environment, where adaptability, initiative, and collaboration are essential.

  • Strong command of productivity tools, including Google Suite, Slack, Trello, Notion and similar platforms.

  • Experience with HubSpot, including CRM management, marketing automation, and data analysis to optimize workflows, track online course participants, and enhance engagement strategies.

  • Proactive problem-solving skills, with the ability to anticipate participants’ challenges, troubleshoot issues, and manage participant-facing content as needed.

  • Authorization to work in the country where the position is based.
